We need a Day Of Coordinator...

"Hey, do you have a cheaper package, we "just" need someone there the day of our wedding?"

This is a question we get asked a lot, and is something we would love to clarify:


Day of Coordination is a title that isn't, or shouldn't be relevant in the wedding industry anymore. When thinking about your wedding day you don't want someone to just show up the day of your wedding and execute the day. Even if you hire someone who has done 100's of weddings, they don't know the specific layout, where all the decor is going, and/or who is who, so they will constantly be asking questions.


The whole point of having someone there to execute the day, is to allow you and your family to relax and not have to worry about anything. Simply put, there are too many things that go into a wedding for someone to just show up on the day of and be able to execute it exactly how you envisioned! There are things that need to happen and be discussed, prior to the wedding day.


That is why you want to hire someone who has a Wedding Management Package. This gives you support 1 to 2 months before from the wedding day, ensuring all the the little details are taken care of. Then on the wedding day, you are truly able to relax knowing that everything you planned is going to happen how you imagined.


This is also why hiring someone to manage the day of your wedding may cost more than you anticipated. You are hiring a professional that will put in about 10 hours prior to the wedding, plus an additional 10 to 12 hours on the day of your wedding. Now let's be clear, there is a difference between a Wedding Planner and Wedding Coordinator. We have another blog on this, but the major difference is: a Wedding Planner meets with you to plan/book vendors, and a Wedding Coordinator only helps you manage all the vendors and details you have planned.


When you book our Wedding Management Package, you are able to plan the wedding of your dreams but have a skilled coordinator to answer questions along the way. With our team, we provide all our clients with a wedding planning platform, called Aisle Planner. This allows you to have a place for all things wedding and to guide you through the entire planning process. Then at about 4 to 6 weeks out, we become more hands on! We schedule a final walkthrough at the venue to talk through it all; where ceremony is taking place, what decor is going where, do you have pens for the guest book, where is cocktail hour, where is the ceremony, how are the tables/chairs being set, what decor goes on the tables, how do you want the send off to go, and on and on and on!


We also talk through a draft timeline to really look at the entire day, talk through transitions, and make sure that all the events that you want to take place, happen. We also touch base with all your vendors to make sure we know their arrival times, and to make sure we have the DJ and Photographer timelines embedded into this one!


Once you approve the timeline we send it out to all the vendors, typically 2 weeks out. This it to make sure that everyone is on the same page and if there are any questions/concerns we can clear them up before wedding day. When our master timelines go out, we also ask that vendors only communicate with us moving forward. This allows you to take in the last few days leading up to the I Do's and enjoy family and friends that have come to town to celebrate!


Then on wedding day, we are the team that brings it all to life! We set it all up and manage the timeline to make sure vendors are working together to capture moments, ceremony starts on time, wedding party makes their grand entrance into reception, and so much more!
